Interacting with Calendars

Calendars can be viewed from the Dashboard (If added to a Report and assigned as a Dashboard for a role), or directly from the Calendars tab.


1. To view a Calendar from a Dashboard, click on the Open Calendar button. (If the Calendar is not on the Dashboard, navigate to the Calendar tab and click on the Eyeball icon to open the Calendar View.)


2. The Calendar View shows the Calendar Name, the name of the Event(s), forward and backward toggles, a today option, options for how the calendar is displayed, and the records that are part of the event. 




Calendar Name - The Name of the Calendar

Event Name(s) - The Name of the Event; clicking on the Event Name will toggle them on/off from view in the Calendar. If an Event shows the Name with strikethrough text, it is not currently being displayed on the Calendar.

Forward/Backward Toggles - Shifts the Calendar forward or backward in time 

Today - Clicking this will bring your view back to the present day/week/month

View Options - Defines the format for how Events are displayed

    Month: Contains all days in the month. The first row will contain days from the previous month greyed out when                         applicable. The last row will contain days from the next month greyed out when applicable.

    Week: Contains all the days in a week. The starting date of the week is defined by your application settings (set only                 by ShotFlow Admins)

    Day: Contains all hours of the day starting at 12:00am.

    List: Contains a chronological list of all of the events of a day


Event Records


Records that are part of an event will display on the calendar in the Format and Color set for that Event in the Calendar. How the Event Records are shown on the calendar based on Start Date and End Date (configured in the Event), are as follows:


  • If either Start Date or End Date is a Date/Time field and the other a Date Field, the event will show as "All Day."
  • If both Start Date and End Date are Date fields, the event will show as "All Day."
  • If both Start Date and End Date are Date/Time fields, the event will show with times displayed on the respective dates.
  • If Start Date or End Date (regardless if the fields are Date or Date/Time) do not have a value, nothing is shown.


If there are more records than what can be shown on the Calendar, a +xx more option will be available. Clicking this option will pop open a secondary window that shows the additional records. 



With the secondary window open, clicking a specific record will pop open yet another window, displaying the record details and actions. 



The details of the record (as selected during the Event creation process for Details Fields) are displayed in addition to the Dates (as defined in the actual record, populated from the fields chosen as Start Date and End Date during the Event creation).


From this record detail view, clicking one of the icons presented will allow the record to be viewed (eyeball), edited (pencil), cloned (double paper), or deleted (red x). Which action icons appear in the window will be determined by the user role permissions for creating, cloning, updating or deleting records.


Clicking Close from this window will close both pop-up windows.
