Process Existing Image Files to Correct File Naming and Embed XMP Metadata (a.k.a. Drag and Drop)

Common Use Cases:

- A vendor has supplied images that were captured elsewhere

- Images were captured on a memory card when shooting untethered

- Images were captured in ShotFlow but under the wrong Shot

- Images were captured for Shot A, but they also can be used to fulfill Shot B (e.g. an outfit that can fulfill Shots for both pants and blouse)

- Images were captured for an existing colorway, but also need to be leveraged for a missing colorway that cannot be shot


Note that the process outlined below will work for both RAW files and processed formats (JPEG, TIFF, etc.) as well as video files


1. Either utilize an existing Shot List that contains the Shots you intend to apply images to, or create a new Shot List that contains the appropriate shots for the assets missing metadata. If you don’t require these new assets to be stored in individual folders, we recommend that you deactivate Auto Sub Folder Generation for the Shot List, by unchecking the box of the same name under Shot List Configs. This will enable easier batch processing of the images in step 11, below. 


2. Assign the Shot List to a Set that is not being used for active shooting, and make sure the Shot List Status is either ’Ready” or “In Progress” to make it visible from ShotFlow Capture.


3. Log into ShotFlow Capture and select the appropriate Set.


4. Once syncing has completed, highlight one or more Shots that the existing image(s) can fulfill. (The Shots will be highlighted in blue.) NOTE: Drag and Drop is independent of connecting a shot to Capture One (camera icon).

Even if you have a shot connected to Capture One (camera icon), Drag and Drop won't work for that connected shot unless it is also highlighted. 


5. Locate the image(s) and/or video(s) you wish to apply with metadata and file naming for the selected Shot(s). 


6. Drag the file(s) over to the selected Shot(s) in the list view of ShotFlow Capture until the cursor becomes a [plus] symbol, and drop the images. [Even if you drop the files over another shot or you are connected to a different shot, the images will be processed under the blue highlighted shot(s).]


7. Each file that has been dropped onto the Shot will be copied into a new file and named and tagged, just as if you were shooting it tethered. Each file dropped will also be counted as a capture for the Shot, and the Status of the Shot will change to "In Progress." In capture versions 2.2.1 and higher, the following Shot fields are stamped with the corresponding values, so they may be utilized in XMP Metadata if desired: Captured By, Captured On Shot List, Captured on Set, Date Shot and Day Shot. This means that these values will reflect in both the Shot record and in the XMP to show the most recent values. For example, if a Shot previously had a Date Shot of 10.22.2022, Drag and Drop will update the value to the current date. (NOTE: all original files will still remain in place, ShotFlow Capture will make new copies of all files for processing purposes).


8. A popup may display asking you where you would like to store the captures, if you haven't designated a base capture folder and Capture One is not running. Select an applicable folder or generate a new one. Note the location of the folder as you will need to locate it again. 


9. Repeat steps 4-7 with other Shot(s) and image file(s) until you have processed all the Shots you have captures for.


10. Open Capture One Pro and navigate to the folder where all of the new “captures” are stored. 


11. Select all of the captures and apply a process recipe in C1 Pro. Note that this will be necessary for both RAW files and processed files in order to create new processed files with correct naming and metadata per the intended Shot.


***ShotFlow recommends dragging and dropping images/videos from within MacOS Finder and not from Capture One. While you can drag and drop from Capture One, the results are inconsistent. This is an issue that we have reported to Phase One to hopefully correct in a future release of Capture One.
