Recommended Best Practices for Managing Shot Lists

In ShotFlow, a Shot List is defined as the bucket of work that can be assigned to one Set or shared among multiple Sets. Multiple Shot Lists can be assigned to a Shoot, which represents all of the work for a Project, including Bookings for Talent, if desired.


The number of Shots assigned to active Shot Lists on any given Set should not exceed 300 (across all Shot Lists assigned to the Set), and anything more can slow performance. To ensure maximum performance while providing visibility to all work completed for a Shoot (or Project), ShotFlow recommends the following best practices for creating and managing Shot Lists. 


Create Shot List Templates

Configure one or more templates with the desired settings for the different types of Shoots


Example: All Shots for On Model are shot on one set, while the Laydown shots are shot on another. Set up 2 Shot List templates- one for On Model and the other for Laydown.

Naming Shot Lists

Clone Shot Lists from the desired templates and then name them to include the Day, Style, Project, etc. If you wish to create smaller buckets of work, you can also included AM or PM. 


Example: "Fall Festive Wear 5/5/21 AM" or "Winter Wonderland Laydowns 5/5/21"


Assign Shot Lists to Shoots

Assign all Shot Lists for a Project to a Shoot. This allows visibility to all of the work assigned or completed for that Project. 


Example: The Project is Fall Festive Wear, and it needs to be completed in 3 days. There are 200 products to be included in this project. Each product needs 3 angles for On Model: Front, Back, Side; and 2 angles for Laydown: Front, Back. The total number of Shots for this project is 1,000 shots- 600 On Model and 400 Laydown. The Studio can average 200 shots a day per Set running 2 Sets.


  • Create a Shoot named Fall Festive Wear 2021
  • Clone 3 Shot Lists from the On Model Template and name them
    •    Fall Festive Wear 5/5/21 On Model - Day 1
    •    Fall Festive Wear 5/6/21 On Model - Day 2
    •    Fall Festive Wear 5/7/21 On Model - Day 3
  • Clone 2 Shot Lists from the Laydown Template and name them
    •     Fall Festive Wear 5/5/21 Laydown - Day 1
    •     Fall Festive Wear 5/6/21 Laydown - Day 2
  • Assign all 5 Shot Lists to the Shoot
  • Use Shot Retrieval to assign Shots to each Shot List as the products are pulled on Set.*


*For pre-assigning Shots: Assign 200 Shots to each Shot List. All Shot Lists are pre-assigned to the appropriate Set and only Day 1 Shot Lists are in a Status of Ready (the other Shot Lists remain in Awaiting Assignment.) Each day, that day's Shot List is marked completed, and the next day's Shot List is set to a Status of Ready. 


Create Action Buttons to Assign to Set (Area)/Talent

Create Action Buttons on the Shot List table to quickly assign one or more Shot Lists to a Set (updated Areas of the Set Type) or to assign Talent resources to the Shot List.
